Worthing Theatres & Museum provides various events, culture, and heritage experiences. We understand our audiences, visitors, and partners expect privacy in their interactions with us and expect their information to be secure and used only for the purpose for which it is provided.
We are committed to protecting your privacy when you use our services. This Privacy Notice explains how we use personal information about you and how we protect your privacy.
Under the requirements of the Data Protection Legislation, including the General Data Protection Regulation (GDPR) and the Data Protection Act 2018, this notice applies to any activity involving your personal data, including collecting, storing, sharing, and destroying personal information. Where We Collect Information From
When you give data to us directly:
- You provide us with your information when you buy a ticket over the counter, by phone, or online via our website; sign up for one of our events or workshops; update your preferences on our website; make a donation or sponsor us; apply for a job, complete a survey, give us consent for filming/photography at our events or communicate with us. We also keep your details when you sign up to receive emails from us. If you have signed up for our Access Membership Scheme, we will note this in your customer record along with your needs.
When you give data to us indirectly:
- Browsing items on our website.
- Opening and/or following links and interacting with emails and marketing you receive from Worthing Theatres & Museum.
- Interact with us or mention us on social media sites.
What We Collect and How It Is Used
Information collections will be used to deliver services and communication. This includes the following Personal Data:
- Your name
- Postal address
- Telephone number
- Email address
- Ticketing history
- Billing information
- Donation History
- Images of you taken at events
- Your preferences for how we communicate with you about our activities
We maintain a record of your transaction history, but we do not store your payment card number (although we store the last four digits to help us identify transactions). We keep a record of the emails we send you, and we may track whether you receive or open them so we can ensure we are sending you the most relevant information. We may then track any subsequent actions online, such as buying a ticket.
How Do We Use Your Data
We may send out surveys and collect information, including the following Personal Data: Your name, address, date of birth, email address, and other contact details. Additionally, “Special Category” data may be collected as part of surveys, collected in an anonymised format and not linked to personally identifiable information.
We will only ever ask for Special Category data necessary to measure the impact of our program. In most cases, this does not require recording names, dates of birth, or addresses. How your data will be used will be made clear at the time of collection, and you will be provided with the option to refuse to provide information.
Lawful Basis of Processing:
The Lawful basis of processing your data will normally be:
- Article 6 (a) Consent: You have provided clear consent for Worthing Theatres & Museum to process your personal data for a specific purpose.
- Article 9 (a) Explicit Consent: In respect of any Special Category data.
- Article 6 (e) Public Task: Where the processing is necessary for Worthing Theatres & Museum to perform a task in the public interest or in respect of its official functions, with a clear basis in law.
If we have used Consent as the Lawful basis to provide your information, you have the right to remove consent at any time. If you want to remove your consent, please contact Worthing Theatres & Museum at boxoffice@wtm.uk and specify the services you are using so we can deal with your request.
How Your Data Is Used
Based on your contact preferences, we use your details to keep you up to date about forthcoming events. You can opt out anytime by updating your preferences or contacting boxoffice@wtm.uk. We sometimes use segmentation based on postcodes and your interactions with Worthing Theatres & Museum to assist us in sending you relevant information about news, offers, and opportunities to support WTM.
- Online:
Depending on your device’s privacy settings and those on other websites and apps in use, we may aggregate information you give us directly or indirectly to target advertising and social media posts. We use the data you give us, directly and indirectly, to report on audiences and visitors to WTM and improve your experience. This reporting is created from aggregated data and is not attributable to individuals. - Our Website:
When you visit our website, we may automatically collect technical information about your session, including the Internet Protocol (IP) address that connects your device to the Internet, the type of device you use, your browser, and your operating system. We do not link this information to anything that identifies individuals. This information enables us to analyse how the website is used, where improvements can be made, and to report to funding and public bodies.

We carry out promotions and surveys on a regular basis. Participation is entirely voluntary, and you have a choice whether to disclose Personal or Special Category Data. The data you supply is aggregated for reporting purposes and not attributed to individuals. - Segmentation:
We use segmentation based on postcodes to report to funders and public bodies about audiences and visitors who attend or subscribe to WTM. - Filming/Photography:
At some performances and events, we, or an approved third party, may take photographs or record film for WTM’s archive, publicity or marketing purposes. We will always place signage in the area if a photographer or filmmaker is present. At participating events, we will always seek your consent and at public events, you may request not to be included in any imagery by speaking to a staff member.
Legitimate Interest Policy
Worthing Theatres & Museum may rely on legitimate interests as a lawful basis for processing personal data in certain situations. Legitimate interests are the legal basis for processing personal data without the need for consent when the processing is necessary for the purposes of the legitimate interests pursued by the data controller or a third party, except where such interests are overridden by the interests or fundamental rights and freedoms of the data subject.

Right to Object:

If you object to such processing, once you notify us to this effect, we will cease processing your personal data unless we can demonstrate compelling legitimate grounds for the processing that override your interests, rights, and freedoms or if the processing is necessary for the establishment, exercise, or defense of legal claims.

Who Do We Share Your Information With
Anonymised data will be shared with third parties to analyse and evaluate the impact of our programs. These include contracted evaluation partners and external program funders. Where we have these arrangements, we will have an agreement in place to ensure compliance with the law. We will often complete a data protection impact assessment (DPIA) before sharing personal information to protect your privacy and comply with the law.
Sometimes, we have a legal duty to share your personal information with other organisations:
- In order to find or stop a crime or fraud.
- If there are serious risks to the public, our staff, or other professionals.
- To protect individuals who are thought to be at risk.
If this is the case, we will record what information we share and our reason for doing so. Where possible, we will let you know what we have done and why if we think it is safe to do so.
Where Is Your Information Stored
The majority of your personal information is stored on systems in the UK. However, there are occasions where your information may leave the UK, either to reach another organisation or if it’s stored in a system outside the EU. WTM aims to ensure there is additional protection if your personal information leaves the UK and that there are robust clauses in the contractual arrangements with any third party who processes personal data outside the UK and the EU.
How Long Do We Keep Your Personal Information
We will only keep your personal information for as long as necessary; it shall be relevant and reasonable in relation to the purpose or purposes for which it was collected. We will ask you to agree to opt in for marketing purposes every 36 months.
